The photograph you provide.
You are responsible for having the right or permission needed to supply and use the photograph. This may include permission from the photographer, rights holder and people shown where appropriate.
Where a child is shown, the person submitting the photograph must have appropriate parental, guardian or authorised responsibility. Do not submit unlawful, exploitative or inappropriate imagery.
Use the highest-resolution version available. Older or faded photographs may still be suitable, but the final result depends on the visible information available to work with.
If you are unsure, use Check My Photograph First before ordering.
If a photograph submitted with a paid order is unsuitable, Zoë will ask for an alternative. If a suitable photograph cannot be provided before personalised work begins, the order may be cancelled and refunded.
Creative interpretation and design directions.
A Frequency of Love commission is an artistic interpretation rather than an exact photographic restoration. Zoë may make creative decisions involving colour, pattern, textile references, crop, composition, background and emphasis.
The standard commission includes two initial creative directions. They are alternative approaches from which one is selected; they are not two separately finished artworks.
One reasonable colour or textile refinement to the selected direction is included. Replacing the source photograph, adding or removing people, rebuilding the composition or requesting repeated revisions may require a separately agreed scope and fee.
Unused directions remain the intellectual property of Frequency of Love and may not be copied, reproduced or used independently.
Proof, approval and printing.
A digital proof is provided before printing. You are responsible for checking the people shown, composition, colours, any text, the chosen size and visible details.
Printing begins only after written approval. Changes requested after approval may require a new print and an additional payment.
Delays in replying to questions, selecting a direction or approving a proof will extend the overall timetable.
Payment, timing and the start of work.
Full payment is currently made through Frequency of Love’s Etsy checkout. Etsy handles the payment information and Frequency of Love does not receive or store complete card details.
Your two initial design directions will be prepared within up to 5 working days once payment, a suitable photograph and the information needed to begin have been received.
A requested date is not guaranteed until the studio has reviewed the photograph, scope and schedule and confirmed the date expressly.
Personalised work starts when Zoë begins developing the first design direction. This may happen soon after payment and receipt of all information needed to begin.
Cancellation and personalised work.
You may request cancellation before personalised design work begins. Where no personalised work has started, the order will be cancelled and the payment refunded to the original payment method.
Once personalised design work has started, the order cannot be cancelled because the portrait is created to your individual specification.
Contact the studio immediately if you wish to cancel; sending a request does not guarantee that work has not already begun.
Nothing in these terms limits statutory rights relating to faulty services, damaged goods or work that is not as described.
Delivery and problems with the print.
After you approve the final proof and the portrait is dispatched, delivery normally takes 3–6 working days. Available delivery destinations and the final delivery charge are shown through Etsy before payment.
Delivery estimates are not guarantees. Frequency of Love will communicate any known material delay.
If an order arrives damaged, contact the studio within 14 days of delivery with clear photographs of the print, packaging and shipping label where useful. Once verified, a replacement print will be arranged.
Read Delivery & ReturnsCopyright, personal use and privacy.
Ownership of the physical print does not transfer copyright. Commercial reproduction, resale copies, licensing, product use or derivative commercial use requires written permission.
The source photograph is used privately to assess and create the commission. The finished portrait will not be shared publicly unless you give separate permission. A private choice will not affect the care or quality given to the work.
