Name, email, telephone number where supplied, and billing or delivery information required for an order.
Orders and support
Artwork, size, price, payment status, delivery, return and support-history information.
Commission enquiries
Uploaded photographs, the story or relationship information someone chooses to share, creative preferences, approvals and the public/private sharing choice.
Trade enquiries
Business name, role, website, project information, intended use, location, budget and supporting material voluntarily provided.
Contact messages
The enquiry type, order number where relevant, message and any later correspondence.
Marketing choices
Studio Letter subscription choice and related engagement information where the email service supports it lawfully.
Website use
Technical or usage information to the extent collected by hosting, security or consent-based services.
Why information may be used.
Information may be used to:
- respond to enquiries and provide requested information;
- process and fulfil orders;
- assess, create and manage portrait commissions;
- take payment and prevent fraud through the selected providers;
- print, deliver, replace or refund work;
- manage trade, licensing and collaboration enquiries;
- operate, secure and improve the website;
- meet accounting, legal and regulatory responsibilities;
- send optional marketing where consent or another lawful route permits it.
Legal bases
The applicable legal basis may include taking steps before or performing a contract, complying with a legal obligation, legitimate interests or consent, depending on the information and purpose.
Commission photographs and personal stories.
A photograph supplied for a portrait may contain personal information about the people shown. It is used to assess and manage the requested commission and is not automatically treated as public material.
Any choice allowing the finished portrait to be shown publicly must be explicit and separate from the commission itself. Choosing privacy must not affect the quality of the work.
Enquiry and uploaded-project data is kept for one year, then deleted or anonymised unless it is needed for an active contract, order, dispute or legal obligation.
Information needed for an active commission may be kept longer while the contract, customer support or a legal obligation remains active.
Studio Letter and optional marketing.
Marketing consent must remain separate, specific and optional. It must not be bundled into an order, commission submission, Trade enquiry or general Contact form.
Each Studio Letter message will provide a way to unsubscribe. Withdrawing marketing consent will not affect an order or service already requested.
Payments, service providers and sharing.
Frequency of Love uses specialist providers for website hosting, enquiries, secure checkout and payment, printing, fulfilment, delivery, transactional email and security. These currently include Cloudflare for website infrastructure and Etsy for customer checkout. Etsy identifies the payment and delivery providers used for an order within its own checkout and policies.
Only information reasonably necessary to provide the relevant service, meet a legal requirement or protect the website is shared with a provider.
Frequency of Love will not directly store complete payment-card details when payment is handled through an appropriate checkout provider.
International processing.
Some providers may process information outside the country in which a visitor lives. Where personal information is transferred internationally, Frequency of Love relies on the safeguards made available by the provider and required by applicable data-protection law.
How long information is kept.
Information should be kept only for as long as needed for the purpose for which it was collected, related customer support, legal obligations or the establishment and defence of legal rights.
Enquiry and uploaded-project data is retained for one year, then deleted or anonymised unless it is required for an active contract, order, dispute or legal obligation.
Order, accounting, complaint, marketing, analytics and cookie information may be kept for different periods where the purpose or a legal obligation requires it.
Your information rights.
Depending on the circumstances and applicable law, rights may include access, correction, deletion, restriction, objection, portability and withdrawal of consent. Legal exceptions may apply.
Withdrawing consent does not make earlier lawful processing unlawful. Frequency of Love may need to verify a request before acting on it.
Security, children and external links.
Reasonable technical and organisational measures should be used to protect personal information, but no website or storage system can be guaranteed completely secure.
The website is not directed at children purchasing independently. An adult must submit imagery of a child for a portrait and must have appropriate authority to do so.
External websites and services have their own privacy terms. Follow a third-party link only after reviewing the information provided by that service.
